Executive Assistant Productivity Architect

Become the Microsoft 365 automation expert your leader needs

A 10-week live transformation programme for Executive Assistants and senior support professionals who want to master Microsoft 365, AI and automation, and use them to redesign how work gets done.

This is not a standard Microsoft course.

It is a practical, workflow-led programme delivered by Paul Pennant, Microsoft MVP in Microsoft 365 and Copilot, former Executive Assistant and founder of Todayโ€™s PA.

You will learn how the Microsoft 365 ecosystem works, how the tools connect, and how to use them to improve real workflows for you, your executive and your organisation.

By the end of the programme, you will not just know more about Microsoft 365. You will know how to use it as a connected productivity and automation system.

You will be able to support your leader faster, more safely, more accurately and more strategically.

From reactive support to Microsoft 365 Productivity Architect

Before

๐Ÿ”ธ Manual admin
๐Ÿ”ธ Disconnected tools
๐Ÿ”ธ Repeated follow-up
๐Ÿ”ธ AI uncertainty
๐Ÿ”ธ Work held together by memory

After

๐Ÿ”ธ Connected workflows
๐Ÿ”ธ Better use of Microsoft 365
๐Ÿ”ธ Automation where it matters
๐Ÿ”ธ Safer AI decisions
๐Ÿ”ธ Strategic support for leaders

Redesign how work gets done

Most Executive Assistants are not short of effort.

They are working inside systems that were never properly designed.

Requests arrive by email, chat, forms, meetings and conversations. Files sit in different places. Actions are tracked manually. Follow-up depends on memory. Information is copied from one tool into another. AI feels important, but it is not always clear where it fits or what is safe to use.

The result is familiar:

๐Ÿ”ธ Too much manual admin
๐Ÿ”ธ Too much duplication
๐Ÿ”ธ Too many disconnected tools
๐Ÿ”ธ Too much pressure on the EA to hold everything together

The Executive Assistant Productivity Architect Programme helps you change that.

You will learn how to look at your work differently, audit your current processes, spot friction, and use Microsoft 365, Copilot, AI and automation to design better ways of working.

From Microsoft 365 user to Microsoft 365 architect

Most people use Microsoft 365 as separate apps.

Outlook for email. Teams for messages. SharePoint for files. Forms for requests. Excel for tracking. Power Automate for automation. Copilot for AI.

The real value comes when you understand how those tools connect.

That is what this programme teaches.

You will learn what each tool can do, how the tools work together, and which tool is best for each job. You will also learn how to think about permissions, guardrails, workflow risk and safe AI use, so you can make better decisions before changing a process.

This is Microsoft 365 mastery for the modern EA.

Why this matters now

AI is changing the assistant role.

The risk is not simply that AI replaces assistants. The bigger risk is that assistants who understand Microsoft 365, AI and automation become far more valuable than those who do not.

This programme helps you move from AI anxiety to AI leadership.

You will learn how to advise your executive on practical AI opportunities, sensible automation ideas, safe use of Copilot, permissions, information access and organisational guardrails.

That makes you more than a support professional.

It makes you a trusted adviser on how work should happen.

What you will learn

You will learn how to improve workflows using the Microsoft 365 ecosystem, including:

๐Ÿ”ธ Microsoft 365 Groups
๐Ÿ”ธ SharePoint
๐Ÿ”ธ Outlook
๐Ÿ”ธ Teams
๐Ÿ”ธ Forms
๐Ÿ”ธ Copilot Chat
๐Ÿ”ธ Copilot in Microsoft 365 apps
๐Ÿ”ธ Power Automate
๐Ÿ”ธ Excel PivotTables
๐Ÿ”ธ Excel Power Query
๐Ÿ”ธ Microsoft Power Apps basics
๐Ÿ”ธ Agents

The programme is not taught as a disconnected tour of software features.

It is taught through workflows, examples, practical exercises and implementation.

You will see how Microsoft 365 can help you create cleaner intake processes, better communication flow, stronger file structures, smarter meeting follow-up, more accurate tracking, clearer reporting, safer AI habits and reduced manual effort.

What you will be able to do

You will leave with practical capability you can apply immediately in your role.

๐Ÿ”ธ Understand Microsoft 365 as a connected ecosystem, not a list of separate apps
๐Ÿ”ธ Choose the right Microsoft tool for the job
๐Ÿ”ธ Audit your current workflows and identify where time, accuracy or control is being lost
๐Ÿ”ธ Redesign everyday EA processes using Microsoft 365, AI and automation
๐Ÿ”ธ Build more structured workflows across Outlook, Teams, SharePoint, Forms, Excel and Power Automate
๐Ÿ”ธ Use Copilot and AI more safely and strategically
๐Ÿ”ธ Think through permissions, guardrails and information access before applying AI or automation
๐Ÿ”ธ Advise your executive on practical AI and automation opportunities
๐Ÿ”ธ Demonstrate a completed workflow improvement as part of your final project

The programme journey

The programme follows a clear transformation journey, but the exact order of topics may flex by cohort so the learning can respond to the group, Microsoft updates and practical implementation needs.

Across the 10 weeks, you will move through five stages.

1. Audit

Understand how work currently flows

You will analyse your role, your recurring tasks, your executiveโ€™s needs and the areas where work is manual, duplicated, unclear or risky.

2. Ecosystem mastery

Understand what Microsoft 365 can really do

You will learn the capabilities of the key Microsoft tools and how they connect across real EA workflows.

3. Workflow design

Redesign better ways of working

You will use templates, examples and guided exercises to identify where Microsoft 365, AI or automation can improve the way work moves.

4. Build and apply

Create practical improvements

You will get hands-on during sessions and between sessions, using sample workflows and your own role context to build real improvements.

5. Prove the value

Complete your Productivity Architecture Project

You will demonstrate one completed workflow improvement, showing the old process, the new process, the tools used and the value created.

This gives you structure without forcing every cohort into a rigid week-by-week topic order.

50% expert teaching. 50% hands-on implementation.

This programme is designed for real change, not passive attendance.

Each session combines expert teaching with hands-on practice. You will learn the concepts, see practical workflow examples, and then start applying the ideas during the session.

That matters because Microsoft 365 mastery does not come from watching demonstrations alone.

It comes from doing the work, asking better questions, testing ideas, building confidence and seeing how the tools can solve real problems.

Your Productivity Architecture Project

This is not a certificate for attendance.

To graduate, you must complete a Productivity Architecture Project.

This is one working Microsoft 365 workflow improvement that shows you can apply what you have learned.

Your project should demonstrate:

๐Ÿ”ธ The old process
๐Ÿ”ธ The problem or friction
๐Ÿ”ธ The redesigned workflow
๐Ÿ”ธ The Microsoft tools used
๐Ÿ”ธ The AI, automation or workflow improvement applied
๐Ÿ”ธ The time saved, risk reduced or value created
๐Ÿ”ธ The guardrails, permissions or safety considerations

Where possible, your project should be based on your real role. If your organisation restricts what you can build or share, you may use a sample scenario provided during the programme.

You can submit your project privately through either a short live demonstration or screenshot evidence with supporting explanation.

Includes the EAPA Implementation Playbook

Every learner receives a printed EAPA Implementation Playbook.

This is your working guide throughout the programme.

It includes frameworks, workflow templates, audit prompts, implementation exercises, AI guardrails and practical examples to help you apply the learning to your own role.

It is designed to be used during the live sessions, between sessions and after the programme as you continue refining your workflows.

Includes 100+ workflow templates and examples

You will receive access to more than 100 workflow templates and examples across the Microsoft tools covered in the programme.

These are designed to help you see what is possible and give you practical starting points you can copy, adapt and apply.

The templates will help you think through workflows such as:

๐Ÿ”ธ Request intake
๐Ÿ”ธ Meeting preparation
๐Ÿ”ธ Meeting follow-up
๐Ÿ”ธ Document management
๐Ÿ”ธ Executive briefings
๐Ÿ”ธ Stakeholder updates
๐Ÿ”ธ Approvals
๐Ÿ”ธ Tracking
๐Ÿ”ธ Reporting
๐Ÿ”ธ Reminders
๐Ÿ”ธ Risk reduction
๐Ÿ”ธ AI-assisted productivity
๐Ÿ”ธ Automation opportunities

You do not have to start from a blank page.

You will have practical models to work from.

Includes Ask Paul

Learners receive exclusive access to Ask Paul for 12 months.

Ask Paul is a specialist AI support chatbot built from Paul Pennantโ€™s Microsoft 365, AI, automation and productivity resources.

It gives you on-demand support during the programme and after it ends.

You can use Ask Paul to explore questions such as:

๐Ÿ”ธ Which Microsoft tool should I use for this workflow?
๐Ÿ”ธ How could I improve this process?
๐Ÿ”ธ Where could automation help?
๐Ÿ”ธ What should I consider before using Copilot here?
๐Ÿ”ธ What permissions or guardrails might matter?
๐Ÿ”ธ How could I make this workflow easier, faster, safer or more accurate?

Ask Paul is only available to EAPA learners.

It gives you continued access to Paulโ€™s thinking, frameworks and practical guidance long after the live sessions finish.

Includes the private EAPA alumni community

You will join a private EAPA Microsoft Teams community.

This is where learners can ask questions, share progress, discuss workflow ideas and receive support during the programme.

Paul will be active in the group and answer questions directly.

After the programme, the Teams group becomes an alumni community across cohorts, helping learners stay connected, supported and up to date.

Access is included for 12 months.

Stay current as Microsoft 365 and AI evolve

Microsoft 365, Copilot and AI are changing quickly.

That is why EAPA does not end when the final live session finishes.

For 12 months, you will receive important Microsoft 365, Copilot and AI updates through the private Teams community, Ask Paul and email.

This helps you keep improving as the tools develop, rather than leaving the programme with knowledge that quickly becomes outdated.

Firstly, we signed up with Paul as we have trained with him before and truly benefit from his targeted and relevant training for us as assistants. Secondly, we had no idea about AI/Chat GPT, and I mean absolutely no idea.ย  We were mind blown within about 5 minutes of this course started (but in a really good way), and stayed totally engaged for the entire duration of the training โ€“ there is so much to learn, but Paul helped guide us through what would be useful for us to build into our working lives, and give us a good grounding in what is, and will be, a phenomenally fast growing area.ย  Everyone needs to learn this stuff.
This Minute-Taking Course is an absolute game-changer for EAs. Paul was knowledgeable and engaging, demonstrating the very latest technological insights, and showing us how to use AI to streamline transcription, summarization, and organization to save time and create first class work products. The excellent materials and personalized feedback made this a truly transformative learning experience. Highly recommend!
Paul Pennant's AI online course was truly eye-opening! It revealed a wealth of knowledge that had me so engaged, I was up till 4am reflecting on everything I had learned. As an Office Manager and Events Coordinator for a large property company, I can already envision numerous occassions where AI will simplify aspects of my role - streamlining tasks, improving efficiency, and allowing me to focus on expanding in other areas. The content was insightful, practical, and expertly delivered - I feel empowered and excited to apply these new AI skills. Highly recommend๐Ÿš€
