Minute Taking Training That Helps You Capture Clearer Decisions, Faster Minutes and Stronger Follow-Through

Minute taking should not feel like a scramble to keep up, decode messy notes and chase actions afterwards. This practical training helps assistants and administrative professionals take control of the full meeting workflow so they can capture what matters, produce accurate minutes faster and support leaders more effectively.

If you need minute taking training that improves how meetings are documented and followed through, not just how notes are written, this course was built for you. Book your place or enquire about team training.

Led by Paul Pennant, a Microsoft MVP, former Executive Assistant and specialist assistant trainer with over 20 years’ experience, this is premium training designed for real workplace pressure, real meetings and real implementation.

  • Capture decisions clearly: stop missing key points, owners and deadlines
  • Write minutes faster: reduce time spent turning rough notes into usable records
  • Improve action tracking: make follow-up clearer, easier and more accountable
  • Use Microsoft and AI more effectively: support better note capture, structure and meeting follow-through
  • Support leaders at a higher level: create clearer records, stronger communication and better meeting outcomes

When minute taking feels harder than it should

Many capable assistants are still expected to take minutes in fast-moving meetings without a reliable system. That creates pressure before the meeting, stress during it and unnecessary admin afterwards. The result is often long write-up time, unclear actions and minutes that do not drive progress.

  • Too much information is captured, but not enough clarity
  • Key decisions and actions are easy to miss in live discussion
  • Minutes take too long to produce after the meeting
  • Actions are recorded vaguely, without ownership or deadlines
  • There is no consistent structure for different types of meeting
  • Generic training explains formats, but does not improve real meeting workflow

From note taker to meeting workflow professional

This is not just about writing minutes. It is about improving how meetings are captured, structured, communicated and followed through.

You will learn how to approach minute taking before, during and after the meeting so you can reduce pressure, improve accuracy and create better outcomes for everyone involved. Where relevant, you will also see how Microsoft 365 and AI can support faster drafting, clearer structure and more efficient follow-up.

  • Prepare properly before the meeting so you know what to listen for
  • Capture decisions, actions and discussion points with more confidence
  • Separate what needs recording from what does not
  • Write concise, professional minutes that people can act on
  • Create clearer action logs, ownership and deadlines
  • Reduce time spent rewriting notes after the meeting
  • Use Microsoft tools more effectively to support minute taking and follow-through

Why this training is different

Generic minute taking training teaches formats. This training improves the workflow.

  • Generic training focuses on note-taking theory. This training focuses on practical application in real meetings.
  • Generic training teaches what minutes look like. This training shows how to capture, structure and follow through more effectively.
  • Generic training treats minute taking as an isolated task. This training connects it to communication, accountability and stronger support for leaders.
  • Generic training gives information. This training builds confidence and changes how the work gets done.

This is practical implementation, not passive learning. You leave with an approach you can use immediately.

What you will be able to do

  • Take clearer, more structured notes in live meetings
  • Identify decisions, actions, risks and key discussion points faster
  • Produce concise, professional minutes with less rewriting
  • Create records that improve accountability and follow-up
  • Adapt your approach for board, project, leadership and operational meetings
  • Use Microsoft 365 and AI more confidently to support meeting output
  • Reduce stress and feel more in control when minute taking under pressure

  • Executive Assistants, Personal Assistants and Administrative Assistants
  • Team Assistants and business support professionals who take minutes regularly
  • Professionals who need more confidence in formal or high-pressure meetings

Why organisations invest in this training

Better minute taking improves more than documentation. It improves clarity, accountability and follow-through. When decisions, actions and deadlines are captured properly, leaders are supported better and less time is lost to confusion, duplication and missed follow-up.

  • Clearer records of decisions and actions
  • Stronger communication after meetings
  • Better accountability across teams
  • Less time lost to unclear follow-up
  • More value from Microsoft 365 and AI tools already in place
  • More confident assistants delivering higher-quality support

Delivered by a specialist assistant training provider

Today’s PA is not a generic software training company. This training is built specifically for assistants and administrative professionals, with a strong focus on practical workplace change. Paul Pennant combines real Executive Assistant experience with deep Microsoft expertise, so the training reflects the reality of supporting leaders, managing pressure and delivering work that has to be right.

Need manager approval?

I wanted to say how much I enjoyed the minute taking course Ana and I did with you. I have to admit that I was dreading the day as I have always hated minute taking and thought the course would be hell and boring too. How wrong I was! Not only did you make the day very rewarding and fun, but I also learnt so much. I have returned  to the office totally fired up and actually looking forward to the next time I have to take minutes, so I can put these new ideas into practice. I never thought I would say that! Thank you again, good luck with the awards
My inbox is now very brightly coloured with very pleasing categories of which ‘Waiting For….’ is definitely my favourite!  My task list is pleasing but a work in progress.  My week has been made up of rocks and sand and hopefully more so next week after my weekly review.  Assertive behaviour is being worked on and the ‘can you come back in 30 minutes’ question has been used daily. Quite a number of friends have expressed interest in your courses, especially one of my excel-geek friends. Thanks for all your help and encouragement. The course has literally transformed the way I work and feel about my work.
More efficient emails: I now have a 3 min delay and now never send emails without the attachments. The best email in the world: I send this when planning our Christmas parties. Okay, it takes me about 45 minutes to write up the email and all the possible replies and to make the rules but once it is done, I don’t think about it again. Regular meetings with my boss: I knew I needed these but seemed to be happy enough to just wait until he suggested it. Attending the course gave me the confidence boost I needed to tell him that I needed it. We now catch-up weekly and I know which meetings need to be attended and which can be delayed.
One job on my newly constructed task list is to write a quick email to you. Thank you for the input you gave over the two days of the course. I had a great time and it was both informative and entertaining. Now all I need is the discipline to put things into practise. I am meeting with my boss in a few minutes and have got a few suggestions to put to him. As he will be away for several weeks to write his dissertation I will be responsible to filter through his emails and have full reign of his outlook. What a chance! Thanks again for all you have taught us and the treats along the way. P.S. Just met with the boss and he is very interested in the filing structure, loves the idea of filtering our...
