Minute Taking Course for Assistants Who Need Clearer Minutes, Faster Follow-Up and More Confidence in Every Meeting

If you leave meetings with pages of notes but still worry you have missed the real decisions, actions or accountability, this course changes that.

Built for Executive Assistants and Personal Assistants, this practical course shows you how to capture what matters, structure minutes clearly and use Microsoft and AI to reduce effort while improving quality.

Led by Paul Pennant, Microsoft MVP and former Executive Assistant, this training is designed for real meetings — including Microsoft Teams and hybrid environments — not outdated theory.

  • Write minutes faster: stop over-documenting and focus on decisions and actions
  • Capture what matters: improve clarity, accountability and follow-up
  • Use Microsoft and AI properly: simplify transcription, summarisation and organisation
  • Feel more confident: go into meetings with a clear, repeatable approach
  • Support leaders better: deliver structured, reliable meeting outcomes

Why minute taking still feels harder than it should

Minute taking becomes difficult when meetings move quickly, conversations overlap and you are expected to listen, think and write at the same time. Many assistants leave meetings with too much information but not enough clarity.

  • Trying to capture everything instead of what matters
  • Decisions and actions get lost in long discussions
  • Minutes take too long to produce and still come back with edits
  • Hybrid and Teams meetings make note-taking more complex
  • Training explains formats but does not improve real performance

From note taking to structured, high-value meeting support

This course helps you move beyond simply writing notes. You will learn how to structure meetings, capture decisions clearly and improve how actions are tracked and communicated.

Using Microsoft tools and AI where appropriate, you will streamline preparation, reduce manual effort and produce clearer, more useful minutes that support real progress.

  • Identify and capture key decisions quickly
  • Track actions, owners and deadlines with clarity
  • Reduce time spent writing and rewriting minutes
  • Improve communication after meetings
  • Support leaders with better structure and follow-through

What you will be able to do after the course

  • Take clear, structured notes without trying to capture everything
  • Produce concise, professional minutes faster
  • Separate discussion from decisions and actions confidently
  • Use Microsoft Teams and Outlook more effectively around meetings
  • Apply AI tools to support summarisation and organisation
  • Deliver more reliable, consistent meeting outcomes

Delivered by Paul Pennant

Paul Pennant combines real Executive Assistant experience with over 20 years of specialist training expertise. As a Microsoft MVP, he brings practical, real-world knowledge of Microsoft and AI, helping assistants apply tools in a way that improves how work actually gets done.

This specialist focus is why Today’s PA stands apart from generic training providers.

I wanted to say how much I enjoyed the minute taking course Ana and I did with you. I have to admit that I was dreading the day as I have always hated minute taking and thought the course would be hell and boring too. How wrong I was! Not only did you make the day very rewarding and fun, but I also learnt so much. I have returned  to the office totally fired up and actually looking forward to the next time I have to take minutes, so I can put these new ideas into practice. I never thought I would say that! Thank you again, good luck with the awards
My inbox is now very brightly coloured with very pleasing categories of which ‘Waiting For….’ is definitely my favourite!  My task list is pleasing but a work in progress.  My week has been made up of rocks and sand and hopefully more so next week after my weekly review.  Assertive behaviour is being worked on and the ‘can you come back in 30 minutes’ question has been used daily. Quite a number of friends have expressed interest in your courses, especially one of my excel-geek friends. Thanks for all your help and encouragement. The course has literally transformed the way I work and feel about my work.
More efficient emails: I now have a 3 min delay and now never send emails without the attachments. The best email in the world: I send this when planning our Christmas parties. Okay, it takes me about 45 minutes to write up the email and all the possible replies and to make the rules but once it is done, I don’t think about it again. Regular meetings with my boss: I knew I needed these but seemed to be happy enough to just wait until he suggested it. Attending the course gave me the confidence boost I needed to tell him that I needed it. We now catch-up weekly and I know which meetings need to be attended and which can be delayed.
One job on my newly constructed task list is to write a quick email to you. Thank you for the input you gave over the two days of the course. I had a great time and it was both informative and entertaining. Now all I need is the discipline to put things into practise. I am meeting with my boss in a few minutes and have got a few suggestions to put to him. As he will be away for several weeks to write his dissertation I will be responsible to filter through his emails and have full reign of his outlook. What a chance! Thanks again for all you have taught us and the treats along the way. P.S. Just met with the boss and he is very interested in the filing structure, loves the idea of filtering our...
