Minutes Taking Training for Assistants Who Need Clearer Notes, Faster Write-Ups and Stronger Follow-Through.

If meetings move quickly, actions get missed and writing up minutes takes too long, this course will help you take back control. Built for Executive Assistants, Personal Assistants and administrative professionals, it shows you how to capture what matters, structure minutes clearly and support leaders with better meeting output using practical methods, Microsoft 365, Copilot and AI.

Led by Paul Pennant, a Microsoft MVP, former Executive Assistant and specialist assistant trainer, this is not generic note-taking training. It is practical, assistant-focused training designed around real workplace pressure and immediate application.

Why minutes taking still feels stressful

  • You are trying to listen, think, track actions and write at the same time
  • Meetings move quickly, so key decisions and ownership can become unclear
  • Writing up minutes afterwards takes too long and adds more pressure to the day
  • Follow-up is often inconsistent, which weakens accountability
  • Microsoft tools are available, but not always used in a way that improves the workflow
  • AI feels useful, but many assistants are unsure how to use it safely and well

From rushed notes to clear, trusted minutes

This course helps you move from reactive note-taking to a more strategic meeting workflow. You will learn how to prepare properly, listen for what matters, capture decisions and actions with confidence, and produce minutes that are accurate, concise and easy for others to act on.

Rather than teaching theory in isolation, this training shows you how to improve the whole process before, during and after the meeting.

  • Prepare more effectively so you know what to listen for
  • Capture key points without trying to write everything down
  • Record decisions, actions, owners and deadlines more clearly
  • Write up minutes faster without losing accuracy
  • Use Microsoft 365, Copilot and AI where they genuinely save time and support quality
  • Create stronger follow-through that supports leaders and stakeholders better

What you will be able to do

  • Take clearer, more structured minutes in live meetings
  • Identify the difference between discussion, decisions and actions
  • Produce concise, professional minutes faster
  • Improve action tracking and post-meeting follow-up
  • Reduce the stress of writing up from messy notes afterwards
  • Use Microsoft and AI more confidently in a real assistant workflow
  • Support leaders with better visibility, clearer communication and stronger accountability

Why this is different

Generic training teaches note-taking tips. This course improves the full meeting workflow.

  • Generic training focuses on writing notes. This course focuses on capturing decisions, actions and accountability.
  • Generic training stays theoretical. This course is practical and built for immediate workplace use.
  • Generic training treats minutes as admin. This course shows how minutes support better leadership, communication and follow-through.
  • Generic training teaches techniques in isolation. This course shows how Microsoft 365, Copilot and AI can support faster, clearer meeting output.
  • Generic training is broad. This course is designed specifically for assistants working in real executive environments.

What this means for assistants and organisations

  • Less stress: a clearer system reduces pressure during and after meetings
  • More control: better structure leads to better prioritisation and follow-through
  • Time saved: faster write-ups and less rework free up time for higher-value work
  • Stronger support for leaders: clearer minutes improve decision support and accountability
  • Better Microsoft and AI use: existing tools are used more effectively in a real workflow
  • Greater confidence and visibility: assistants become more trusted in high-stakes meetings

Built for real assistant work

You do not need perfect shorthand or a complicated system. You need a practical approach that works in real meetings, under real pressure, with real follow-up afterwards. That is what this course delivers.

Today’s PA focuses on assistant transformation, not generic software training. That means the learning is always tied to how assistants actually work, how leaders need support and how visible improvement happens in the workplace.

Why this is worth the investment

For assistants, the return is more confidence, more control and less time lost to unclear notes and slow write-ups. For organisations, the return is better meeting records, stronger communication, improved accountability and more effective support for leaders.

This is how minutes taking becomes more than an admin task. It becomes a business-critical support skill.

I wanted to say how much I enjoyed the minute taking course Ana and I did with you. I have to admit that I was dreading the day as I have always hated minute taking and thought the course would be hell and boring too. How wrong I was! Not only did you make the day very rewarding and fun, but I also learnt so much. I have returned  to the office totally fired up and actually looking forward to the next time I have to take minutes, so I can put these new ideas into practice. I never thought I would say that! Thank you again, good luck with the awards
My inbox is now very brightly coloured with very pleasing categories of which ‘Waiting For….’ is definitely my favourite!  My task list is pleasing but a work in progress.  My week has been made up of rocks and sand and hopefully more so next week after my weekly review.  Assertive behaviour is being worked on and the ‘can you come back in 30 minutes’ question has been used daily. Quite a number of friends have expressed interest in your courses, especially one of my excel-geek friends. Thanks for all your help and encouragement. The course has literally transformed the way I work and feel about my work.
More efficient emails: I now have a 3 min delay and now never send emails without the attachments. The best email in the world: I send this when planning our Christmas parties. Okay, it takes me about 45 minutes to write up the email and all the possible replies and to make the rules but once it is done, I don’t think about it again. Regular meetings with my boss: I knew I needed these but seemed to be happy enough to just wait until he suggested it. Attending the course gave me the confidence boost I needed to tell him that I needed it. We now catch-up weekly and I know which meetings need to be attended and which can be delayed.
One job on my newly constructed task list is to write a quick email to you. Thank you for the input you gave over the two days of the course. I had a great time and it was both informative and entertaining. Now all I need is the discipline to put things into practise. I am meeting with my boss in a few minutes and have got a few suggestions to put to him. As he will be away for several weeks to write his dissertation I will be responsible to filter through his emails and have full reign of his outlook. What a chance! Thanks again for all you have taught us and the treats along the way. P.S. Just met with the boss and he is very interested in the filing structure, loves the idea of filtering our...
